This policy explains how CommunityOS (https://www.communityos.dev) handles personal information when you use our website, dashboard, and community portals. By signing in or using the service, you agree to this policy.

Who we are

CommunityOS is a platform that helps FiveM server communities run applications, support tickets, rules, staff tools, and related features. The service is operated by the CommunityOS team. For privacy questions, contact us via CommunityOS Official Discord.

Information we collect

Depending on how you use CommunityOS, we may process:

  • Account information when you sign in with Discord: Discord user ID, display name, avatar, and email address if Discord provides it to us.
  • Billing information if you subscribe to Pro: payment is handled by Stripe. We store subscription status, plan, and billing period dates - not your full card number.
  • Community content you or your staff create: community names, rules, announcements, application forms and responses, support tickets, clips, and customisation settings.
  • Gameplay and server data when a community connects our FiveM resource: player identifiers (e.g. license, Discord ID), in-game names, online status, economy sync data, moderation actions, and queue information as configured by the community owner.
  • Portal usage on public community pages (e.g. page views, top pages) where analytics is enabled on Pro plans.
  • Technical data: session cookies, IP addresses in server logs, and similar data needed to secure and operate the service.

How we use information

We use personal data to:

  • Provide, secure, and improve the service
  • Authenticate you and enforce role-based access in communities
  • Process subscriptions and send billing-related communications via Stripe
  • Sync Discord roles and deliver integrations you or a community enable
  • Display community portals, applications, tickets, and staff dashboards
  • Prevent abuse, debug issues, and comply with legal obligations

Legal basis (UK / EEA)

Where UK GDPR or EU GDPR applies, we rely on:

  • Contract - to provide the service you sign up for
  • Legitimate interests - to operate, secure, and improve the platform, including limited operator access for support and abuse prevention (see below)
  • Consent - where required for optional features or marketing (we do not sell your data)
  • Legal obligation - where we must retain or disclose information by law

Platform operator access

Authorised operators of CommunityOSmay access account, community, membership, and subscription records in our admin tools to run the platform, grant comped plans, investigate abuse, and provide support. This access is restricted to site operators and is not shared with community owners about other communities' private operator data beyond what those communities already control in their own dashboards.

Community owners and staff

If you join a community on CommunityOSas staff or submit an application or ticket, that community's owners and permitted staff can see the information you provide to them (e.g. application answers, ticket messages, player records). Their use of your data is governed by their own rules; CommunityOS processes it on their behalf as a service provider.

Third parties we use

  • Discord - authentication and bot integrations
  • Stripe - subscription payments
  • Hosting and infrastructure - to run the website and database

These providers process data under their own privacy policies and our instructions where applicable. We do not sell personal information to advertisers.

Retention

We keep information while your account or community exists and as needed for billing, legal, or security purposes. Community owners may delete their community; account deletion may be requested via support. Backup copies may persist for a limited period.

Your rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or object to processing of your personal data, and to data portability. You may also lodge a complaint with your local data protection authority. To exercise rights, contact us on Discord.

Age requirements

CommunityOS is built for FiveM roleplay communities. FiveM runs on Grand Theft Auto V, which is rated 18+ (PEGI 18 / Mature) in most regions. The service is intended for adults and is not directed at children. Individual communities may set additional minimum age rules for applications, Discord access, and in-game play.

International transfers

Data may be processed in the UK, EEA, or other countries where our providers operate. We use appropriate safeguards where required by law.

Changes

We may update this policy from time to time. The "Last updated" date at the top will change when we do. Continued use after changes means you accept the updated policy.
